The National Urban League Seeks a Director, Event Operations in the Marketing & Communications department. The Director will drive the events operation strategy as well as provide leadership, project management and oversight on all logistical, events and technical matters. The Director, Event Operations will perform with the directive and direction from the SVP, Marketing and Communications and the Vice President, Event Marketing in the development and execution of all internal and external facing National Urban League events (both live and virtual), which may include meetings, conferences, board meetings, retreats, and convenings, both at the National Urban League’s offices and at off-site locations. The Director, Event Operations will partner closely with the finance, facilities, and legal teams of the National Urban League.

Essential Functions:

  • Works with SVP of Marketing and Communications and VP of Event Marketing in managing budgets for the National Urban League Conference and events, meetings, travel, vendors, logistics, and operations.
  • Provide customer service support for Stakeholders, Internal and external clients of all National Urban League Events.
  • Provide strategic event management, coordinating logistics and operations
  • Responsible for administering all event planning with the client and venue departments including, but not limited to, registration, décor, staging, lighting, sound, transportation, and event security.
  • Generate and maintain budgets with timely updates throughout the event process through constant analysis and attention to detail. Track costs against budget for settlement with internal and external clients.
  • Extensive Knowledge of convention center operations and expo floor operations and build out
  • Manage hotel room blocks, inventory, and contracts as well as Registration for conference and events.
  • Manage external vendors.
  • Manage site searches including creating Affiliate MOU’s and RFPs, provide recommendations, contract review and negotiations.
  • Identify staffing needs during the overall event, create, and update the shift schedule, assign staff teams, and communicate all staff assignments to National Urban League colleagues and adjust as needed.
  • Manage and update multi-year conflict of event calendar for use agency wide in planning.


Requirements

Education:

  • Bachelors (BA/BS) degree in Marketing & Communications, Business or related field. 

Experience:

  • Experience working on multiple events of varying scale and scope simultaneously.
  • 5-7 years of pertinent event planning experience in hotel convention or reservation services.

Knowledge & Skills:

  • Must have high attention to detail and platinum customer service skills.
  • Ability to prioritize tasks and manage multiple projects simultaneously. Exceptional organizational and time management skills
  • Ability to work across multiple teams, internally and externally, to complete event related tasks.
  • Excellent written and verbal communication skills with a strong attention to detail.
  • Must possess sound judgement, business savviness and discretion.
  • Candidate must be flexible with working some nights and weekends and traveling to multiple events within a year. Ability to travel 30% of the time.
  • Excellent project management skills.
  • Ability to solve problems creatively and practically, to multi-task and work on many projects simultaneously.
  • Ability to work both independently and collaboratively.
  • An entrepreneurial mindset; able to identify and pursue opportunities.
  • Travel 25% - 35%

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift to 15 pounds at times.
